*About the position: *

McMan Youth, Family and Community Services Association is seeking a highly organized and proactive Administrative Assistant to join our team. This is an excellent opportunity for an experienced administrative professional to provide administrative support to the Disability Services program office and staff, by completing a variety of clerical, reception and administrative duties.

*Hours: *Monday to Friday, 8:30 AM to 4:30 PM; 40 hours per week.

*Location:* Edmonton, Alberta.

*What you?ll do:*

Reporting to the Service Delivery Manager, the Administrative Assistant II will facilitate organized and efficient office operations, provide support to the Service Delivery manager and team, and act as the first point of contact for the public and the individuals we serve. This position provides additional support to staff in the areas of financial recording, and other program-related tasks.

Key areas of responsibility will include:

· Acts as first point of contact for in-person and telephone traffic. Manages incoming service inquiries through strong knowledge base of program services and resources.

· Manages data and information, prepares correspondence, reports and materials for a variety of purposes to support the program manager, team and services.

· Verifies, monitors, reconciles, and completes a variety of financial information within the program. Ensures that the appropriate documentation is completed, and accurate reimbursement is provided.

· Produces accurate documents and assists in event arrangements, including meetings and staff/client functions.

· Manages incoming and outgoing mail, arranges courier services, and maintains efficient filing systems.

· Manages and processes travel claims, and cheque requisitions; ensures appropriate documentation is completed.

· Supports OH&S by auditing the First Aid kit, completing Universal Precautions Checklist, leading office drills and maintaining required documentation.

· Ordering and replenishing first-aid and emergency supplies for McMan Centre and the other Edmonton DSP sites.

· Adheres to McMan?s policy and safety standards in dealing with potentially unsafe situations (e.g., building safety, emergency procedures, evacuation protocols).

· Acts as back-up and provides assistance as needed to other Administrative Assistant staff; works on special projects and other duties as assigned.

*What you bring:*

· A certificate/diploma in Business Administration or a related discipline and a minimum of two years' experience as an administrative professional including financial administration. Equivalencies may be considered.

· Effective communication and problem-solving skills. Strong analytical, organizational and time management skills. You are naturally drawn to supporting others and improving processes and are able to work with confidential information.

· Proficiency in Microsoft Office applications; willingness to learn additional software as required.

· Strong attention to detail, particularly when reviewing financial documents and tracking spreadsheets.

· Thorough knowledge of office equipment operation and troubleshooting. Knowledge of basic financial reconciliation.

· Ability to drive personal vehicle would be considered an asset.

· Dedication to service excellence and strong commitment to work effectively as a member of a team.
